About the Office
The Office of Dean, Examination & Evaluation is responsible for planning, conducting, evaluating and monitoring all examination-related activities of Annasaheb Dange College of Engineering and Technology, Ashta. The Examination Cell was established after the Institute received academic autonomy from the Academic Year 2017–18. Under autonomy, the Institute prepares its academic calendar, designs curricula, conducts examinations, carries out assessment and evaluation, and declares results, while the degree is awarded by Shivaji University, Kolhapur.
The Office is committed to maintaining a fair, efficient, reliable and transparent examination system. It coordinates all activities from student examination registration, question-paper setting and examination scheduling to assessment, moderation, result processing, revaluation and issue of academic records.

Mission
- Designing and implementing secure, structured and outcome-based examination and evaluation processes aligned with academic standards and accreditation requirements.
- Ensuring fair, timely and transparent assessment of student performance.
- Using technology-enabled systems such as On-Screen Assessment, secure question-paper management and digital result processing.
- Ensuring effective coordination among departments, faculty members, students, examination committees and university authorities.
- Maintaining confidentiality, accuracy, accountability and ethical practices in all examination-related activities.
Major Functions of the Office
The Office performs the following major functions:
- Preparation and publication of examination calendars, schedules, notifications, name lists, summary lists and hall tickets.
- Appointment of question-paper setters, examiners, assessors, moderators, Senior Supervisors, Central Assessment Centre Coordinators and practical/oral examiners.
- Collection, scrutiny, moderation, secure printing and confidential handling of question papers and schemes of marking.
- Centralised conduct of Mid-Semester, End-Semester, Make-Up, practical, oral and other examinations.
- Coding, masking, scanning and allocation of answer books for manual or On-Screen Assessment.
- Coordination of assessment, scrutiny, moderation, revaluation and result-grievance procedures.
- Entry, verification and validation of marks through the examination ERP.
- Processing and declaration of examination results and preparation of ledgers, grade cards, rank certificates and provisional academic records.
- Maintenance and preservation of examination records, assessed answer books and digital assessment data.
- Processing of applications for photocopies, revaluation, transcripts, student verification and examination-related certificates.
- Addressing student examination queries and grievances through the Student Facilitation Centre.
- Maintaining confidentiality, data security and academic integrity throughout the examination process.
These functions are consistent with the responsibilities prescribed in the Examination Rules and Regulations, including examination scheduling, appointment of examination personnel, secure question-paper processing, result management and student grievance support.

Examination Process
The examination process is organised into three broad stages:
Pre-Examination Activities
- Examination planning and preparation of schedules.
- Student examination registration.
- Preparation of name lists and hall tickets.
- Appointment of paper setters and examiners.
- Question-paper setting, scrutiny, printing and sealing.
- Seating arrangements and appointment of supervisory staff.
During-Examination Activities
- Secure opening and distribution of question papers.
- Conduct of examinations under authorised supervision.
- Attendance and absentee recording.
- Monitoring through the Quality Assurance Squad or Flying Squad.
- Collection, counting and secure handover of answer books.
Post-Examination Activities
- Masking, coding and scanning of answer books.
- Manual or On-Screen Assessment.
- Scrutiny and moderation.
- Marks entry, verification and validation.
- Result processing and declaration.
- Photocopy, revaluation and grievance redressal.
- Preparation of ledgers, grade cards and academic records.
On-Screen Assessment
The Institute has introduced On-Screen Assessment to improve the security, accuracy, transparency and efficiency of answer-book evaluation. Under this process, answer books are masked, coded, scanned, verified and digitally allocated to authorised assessors. Assessment, scrutiny and moderation are carried out through a secure digital platform with controlled access and audit trails.
On-Screen Assessment was introduced for the End-Semester Examination of First-Year students from the Odd Semester of Academic Year 2025–2026 onwards.
